    For site managers

Service phase 8: inspection, defects, site diary, acceptance.

Construction supervision means presence, checking and documentation. Structify records the site inspection as voice, keeps defects and site diary in the project and prepares acceptance and change orders under VOB/B (the German construction contract procedures).

    What you know

Five places where time is lost today.

    1. Site documentation

      Today

Walk-through on the notepad, into the Word document in the evening, phone photos emailed to yourself.

      With Structify

You dictate the site inspection on site, even without signal. Structify recognizes defects, tasks, rooms and trades and turns them into a structured report as a PDF; every suggestion stays labeled and correctable.

    2. Task management

      Today

Defects shouted to the foreman, extended deadlines kept in your head, feedback from firms by phone.

      With Structify

Every task is a ticket with responsibility, deadline and status, pinned on the drawing if you wish. You invite external parties to the ticket via a guest link; they take no user seat.

    3. Scheduling

      Today

Construction schedule in MS Project or Excel, deadlines of the firms in a second list.

      With Structify

The construction schedule shows activities per trade with the critical path, tickets carry deadlines in calendar and bar chart, and the dashboard lists the deadlines of the next 14 days, in the same project as defects and reports.

    4. Cost control

      Today

Invoice checking in Excel, change orders in Word, cost status only on request from the office.

      With Structify

Cost states under DIN 276 from the cost estimate (service phase 2) to the production costs (service phase 8), hours worked per service phase against the target fee with coverage ratio and traffic light, plus an early warning per project.

    5. Invoices

      Today

Interim invoice for construction supervision calculated in Excel and written in Word.

      With Structify

Interim and final invoices come out of the project: fee per service phase by the percentage delivered, deduction of earlier interim payments, ancillary costs as a flat rate or itemized, output as a PDF.

    How it runs for you

    Service profile, phases, cost groups.

Structify for site managers is the same software as for everyone who plans and builds, seen from service phase 8 (construction supervision and documentation): site inspection by voice, defects as tickets on the drawing, site diary as a daily report with signature, acceptance with report as a PDF, change orders under VOB/B and construction schedule with critical path, all in the same project.

    Service profile
Service phase 8 of building design: construction supervision and documentation; for buildings 32 percent of the fee under § 34 HOAI.
    Service phases
Site inspection, defect tracking, site diary, acceptance with defect list and report, change orders under VOB/B § 2, checking the firms' invoices and your own interim invoice for phase 8.
    Cost groups under DIN 276
Production costs as the last cost state under DIN 276; deviations from the award sum become visible per cost group.
    Three modules, one project
    • Site inspection Spoken on site, report in the office, defects and tasks as tickets.
    • Site diary Daily report per date with weather, workforce, work done and photos; locked once signed.
    • Change order management Facts, justification and change order letter under VOB/B in the same project.
    Example

    One project, three sentences.

A site manager supervises the refurbishment of a school building in service phase 8. Every site inspection is dictated, defects sit as tickets on the floor plan and go to the firms via guest link, the daily report is signed and locked. For acceptance, defect list and report are ready as a PDF, and a change order under VOB/B is documented with justification from the same project.

    Sample, not a customer project.
