    The acceptance protocol records the formal acceptance: defects noted, reservations and the start of the warranty period. A central document with significant legal consequences.

    When to use

    At formal acceptance (VOB/B § 12, BGB § 640). Acceptance starts the warranty period and reverses the burden of proof; reservations must be declared here.

    With acceptance the warranty period starts, the burden of proof reverses and payment falls due. Defects noted and any reservation of the contractual penalty must be documented in the protocol.

    An inspection is ongoing monitoring; acceptance is the legal approval of the service as essentially in line with the contract. Both are recorded, but they have different legal consequences.
